Bike and Travel Laos

1. BOOKINGS
BIKE AND TRAVEL LAOS operates mainly from its office in Luang Prabang, Laos. The office handles all bookings and communication between guest and agents. All bookings settled have to be made through our office in Laos by Email or Fax. Bookings are not valid until reconfirmed by our office (Email, Fax).
Bookings for other countries than Laos are passed on to responsible partner offices in the country. Communication may still be done through our offices in Laos.

2. PAYMENT
The invoiced tour price is payable at the latest 1 month prior to arrival of the customer (start of journey) or as agreed upon prior to booking. Payment shall be made in US$, into the account of our mentioned bank in Laos. Cash payments are accepted in our office in Luang Prabang as well as payments by Visa/Master Card (4 % surcharge) for walk-in clients. Any banking fees for transfers have to be paid by the sender/client/partner. Walk-in clients, who book their tours in Luang Prabang have to pay their trip prior to departure in Cash US$, Kip, Baht, Euro or by Visa/Master Card. – the daily exchange rate is valid for every payment. Money transfers from other countries than Laos should include a copy of the Bank transfer slip, which the guest/costumer/partner must send to our company as a proof of payment.

3. SERVICES AND MODIFICATION OF SERVICES
The reach of contractual services rendered by BIKE AND TRAVEL LAOS is as set out in the valid tariff or website offers and the specifications in the relevant tour confirmation. Any amendments to and modifications of contractual services only apply when confirmed in writing by BIKE AND TRAVEL LAOS by Email/Fax. Changes in our services may occur through unforeseen circumstances such as weather conditions, political situations, road conditions and other.

4. CANCELLATON of Tours – DIRECT COSTUMERS / AGENT / PARTNER BOOKING
In case of cancellation, fees will be charged as follow: The amount of cancellation fees depends on the day of receipt of the written cancellation at our office in Laos.

• 15 to 30 days before arrival date - 10% of tour price
• 7 to 14 days before arrival date - 20% of tour price
• 1 to 6 days before arrival date - 50% of tour price
• no show and cancellation on day of departure - 100% of indicated tour price

BIKE AND TRAVEL LAOS may claim losses exceeding the flat rate cancellation fee, whenever proof of such loss can be provided.
You are of course entitled to furnish proof to BIKE AND TRAVEL LAOS that no loss has yet occurred or that it is considerably lower than the charged flat rate. BIKE AND TRAVEL LAOS is entitled to pass on additional costs to the client if charged for by service providers (e.g. fees for unoccupied beds / seats etc.).
 
5. CANCELLATION FOR WALK-IN CLIENTS
Last Minute Bookings in our office
For cancellation of a booking (only day tours) done in Luang Prabang Office on the start day itself, 50 % will be charged. No show will be charged by 100 %.

6. WARRANTY
BIKE AND TRAVEL LAOS is not liable for any injury, loss or damage the traveler suffers during in connection with the journey, nor for itinerary modifications due to circumstances beyond BIKE AND TRAVEL LAOS control. Our Clients have to understand that our cycling tours by their very nature involve risks and dangers and clients shall assume all responsibility for any loss, injury, or death of themselves. Clients shall not held BIKE AND TRAVEL LAOS or its personnel responsible, whatsoever, for any injuries, damages, losses or delays neither to persons or property nor for extra costs arising from unforeseen complications for any reasons during the adventure trip. Furthermore, all clients have to be aware that BIKE AND TRAVEL LAOS reserves the right to inspect all equipment at the outset of the excursion to ensure proper working order. Having done so, we agree to pay for all damages to the equipment instigated by our negligence.

7. VALIDITY, GENERAL CONDITIONS
The stated prices apply according to validity mentioned in the quotation. If passport, visa, customs, health or currency provisions of individual countries are not met by the passenger, thus preventing him or her to participate in the journey, BIKE AND TRAVEL LAOS may charge the corresponding cancellation fees to the customer (organizer, agent).
If BIKE AND TRAVEL LAOS accepts to arrange for visas and/or similar documents, it acts on behalf of the organizer (agency). Any risk in connection with the issuing refusal of such documents shall be borne by the organizer alone.
Should any clause or provision of this tourist travel contract become void or unenforceable, the validity of the remaining contract shall not be affected or impaired thereby.
Place of jurisdiction for actions brought against BIKE AND TRAVEL LAOS shall be its responsible operation office in Lao P.D.R..
